I keep a separate space just for my business paperwork. This can be a desktop filing system, a specific file cabinet drawer, or even a Binder. Since I am short on space I use a binder and a few file folders place in my Thirty-One Hang Up Wall Organizer (this is a life-saver and I will share pictures in a future post of my office).
Here is a list of all the file folders that I have labeled and find useful:
- To Be Filed
- Supply Receipts
- PayPal Statements
You might need more of less depending on how you want to set up your business and what you like to track. It is really up to you, but these are the files I have found that I need.
SMALL BUSINESS BINDER
I have created my own printables that you can find at the bottom of this post. I use my binder to track all business finances as well as using a bookkeeping program called Wave. I like keeping track in both places just in case something ever happens to my computer and it also forces me to double check everything. You are free to do whatever you feel most comfortable. If you think doing both is overkill, use whichever one you would like. I do suggest keeping track of your finances in some way, no matter what size your business is. Once you get behind on your paperwork, it is extremely difficult to catch up.
My binder includes the following tabs:
- Item Costs
- Time Management
- Yearly Profit Summary
- One Tab for Each Month of the Year
- These tabs are different then the others to set them apart!
Place these tabs in whatever order works best for you! Everyone is different! I also place clear pockets in the back to place receipts that I need to store quickly if I cannot get to my files immediately.
MAKING IT WORK
When I am out shopping or picking up supplies I keep a small folder in the car where I can place receipts and keep track of my mileage so that when I get home it is easy to transfer into my small business binder. Each weekday I set aside a small amount of time to update any information in the binder first then in my online bookkeeping. This process is something I had to work on for awhile before I actually became good at it.
